Legal Secretary/Assistant

Job Overview

Responsibilities

• Maintain accurate and up-to-date firm calendar at all times
• Answer phones, communicate with clients and engage in client intake
• Manage and organize legal documents
• Draft, proofread, and review legal documents such as contracts, pleadings, memos, and correspondence with precision and clarity
• Coordinate meetings, appointments, and court filings while maintaining meticulous calendars and deadlines
• Conduct interviews with clients or witnesses as part of case preparation; document findings thoroughly
• Support case management activities by entering data accurately into PCLaw and other case management software
• Perform general clerical duties including filing, data entry, phone etiquette, proofreading, transcription, and maintaining organized files
• Provide executive administrative support by managing correspondence and facilitating communication between team members

Experience

• Proven experience in a legal environment or law office setting with familiarity in legal administrative tasks
• Strong organizational skills with the ability to manage multiple priorities efficiently under tight deadlines
• Excellent writing skills for drafting legal documents and correspondence; keen proofreading abilities
• Experience in conducting interviews or client interactions is a plus
• Familiarity with litigation and NJ eCourts and filing processes preferred
• Technical skills including data entry accuracy and proficiency in document management systems are essential
