Office Manager / Legal Secretary - Arabic Speaking

We are currently working with a newly set up Semi Governmental legal institution based in Abu Dhabi who are looking for an experienced Office Manager / Legal Secretary to support the Executive Director and ensure the smooth day-to-day running of the office.

This role combines executive support, office management, and administrative responsibilities for a team of 8.

Key Responsibilities

• Provide secretarial and administrative support to the Executive Director, including diary management, correspondence, document preparation, and meeting coordination.
• Prepare, format, and proofread documents, reports, presentations, and communications in both English and Arabic.
• Support the daily operations of the office, including procurement, supplier coordination, office supplies, facilities, and general administration.
• Manage administrative processes including invoices, reimbursements, leave requests, and internal records.
• Coordinate travel arrangements, itineraries, and logistics for senior stakeholders and visitors.
• Support the planning and coordination of meetings, events, and external engagements.
• Act as a point of contact for incoming enquiries and ensure communications are directed appropriately.
• Provide general administrative support to the wider team as required.

Requirements

• Minimum 3+ years’ experience in an administrative, secretarial, executive assistant, or office management role within an international environment.
• Fluency in Arabic and English (written and spoken) is essential.
• Experience with secretarial duties such as proofreading, drafting, etc. is essential
• Experience supporting senior executives and handling confidential information with discretion.
• Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
• Experience managing office operations, procurement processes, and supplier relationships.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience within a legal, professional services, multinational, or international organisation is preferred.
• Exposure to diverse cultures and working environments is highly desirable.
