The Role

We’re hiring an Accounts Payable Clerk to join our finance team and own the day-to-day execution of our AP function. This is a high-volume, detail-driven role: you’ll process vendor invoices, run payments through our banking platform, and make sure every dollar that leaves Regalis is properly documented, approved, and accurate.

You’ll work closely with our EVP of Finance and partner daily with our Purchasing team to keep invoice flow clean and discrepancies resolved quickly. Because we’re a specialty food company, vendor compliance matters - you’ll also play a key role in onboarding new vendors and ensuring they meet our food safety standards before they’re approved to transact.

This is a role that rewards ownership, discretion, and consistency. Processing payments commands a real level of responsibility, and we’re looking for someone who treats every payment run, approval, and vendor record with the care it deserves.

What You'll Do

• Process a high volume of vendor invoices accurately and on time in Syspro
• Match invoices to Purchase Order Receipts (GRNs); work closely with the Purchasing team to investigate and resolve discrepancies
• Enter non-GRN invoices with supervisor approval, ensuring proper documentation and authorization
• Prepare and process payment runs (EFT, wire, check) through our banking platform, following established approval workflows
• Manage vendor setup and ensure approval for food safety compliance prior to onboarding
• Reconcile vendor statements and respond to vendor inquiries
• Maintain accurate vendor records and supporting documentation
• Work closely with the EVP of Finance on payment approvals, reporting, and special projects
• Assist with month-end close, accruals, and audit requests

What We're Looking For

• 2+ years of accounts payable or similar finance/accounting experience
• Hands-on experience with Syspro is a strong asset; experience with another mid-to-enterprise ERP (SAP, Oracle, NetSuite, Microsoft Dynamics, Sage 300/X3, Epicor, etc.) is also welcome
• Solid Excel skills - comfortable with VLOOKUP/XLOOKUP, pivot tables, filtering, and basic formulas for reconciliations
• Strong attention to detail and a track record of accurate data entry at volume
• Sound judgment and a strong sense of responsibility when handling payments, approvals, and confidential financial information
• Ability to follow established approval processes consistently and flag exceptions appropriately
• Clear written and verbal communication for working with vendors, the Purchasing team, and internal stakeholders
• An associate’s or bachelor’s degree in accounting, finance, or business is preferred but not required
• Ability to work independently, manage deadlines, and prioritize during busy cycles like month-end
