Job Description

The Staff Accountant/Accounts Receivable Specialist reports directly to the Controller and will primarily be responsible for managing the full Accounts Receivable cycle—invoicing, collections, cash application, and customer account reconciliation—while also preparing, recording, and administering Accounts Payable, General Ledger, and other financial reporting processes.

Based on the duties described below, this is a full-time, exempt position with benefits.

Responsibilities

• Data Entry: Recording financial transactions into the company's accounting system accurately and promptly.
• Accounts payable: Processing invoices, reconciling vendor statements, and ensuring timely payment of bills.
• Accounts receivable: Generating and issuing customer invoices, recording payments, and reconciling customer accounts and subledgers against the general ledger.
• Collections: Monitoring the AR aging report, proactively following up on past-due balances, and resolving billing disputes to keep days sales outstanding (DSO) low.
• Customer accounts: Setting up new customer accounts, maintaining credit terms, issuing credit memos and statements, and serving as the primary point of contact for billing inquiries.
• AR reporting: Preparing weekly and monthly AR aging summaries and cash application reports for the Controller.
• Bank reconciliation: Reconciling bank statements to ensure the accuracy and completeness of financial records.
• Budget preparation: Assisting with the preparation of budgets, forecasts, and financial projections.
• Internal control: Maintain internal control procedures to ensure the integrity of financial information.
• Auditing: Assisting with internal and external audits, as needed.
• Notable projects: Assisting with special projects, as needed, including financial analysis, cost analysis, and process improvement.
• Filing: Organizing and filing financial documents, such as tax returns and other legal reports, in a secure and easy-to-access manner.
• Customer Service: Responding to customer inquiries, resolving complaints, and providing general customer support professionally and courteously.

Desired Skills and Experience

Qualifications

• Bachelor's degree in accounting or finance.
• 1+ years of hands-on Accounts Receivable experience, including invoicing, collections, and cash application, strongly preferred.
• Prior experience in accounting or bookkeeping is preferred.
• Proficiency in accounting software, QuickBooks experience preferred.
• Excellent interpersonal, analytical, and communication skills are necessary.
• Attention to detail with accurate data entry skills.
• Ability to maintain strict confidentiality.
• Must have a "hands-on" approach to all tasks required to be completed.

Pay and Benefits

• $60,000 - $70,000/year depending on experience
