Location: San Francisco, CA (Hybrid – Tuesday through Thursday)

Pay Rate: Up to $45/hour

Contract: 3-Month W2 Contract

Position Overview

We are seeking an organized and people-focused Employee Experience Coordinator to support employee onboarding, engagement programs, and company events. This role is responsible for creating seamless onboarding experiences for new hires while helping execute impactful employee events that strengthen company culture and foster connection across teams.

The ideal candidate is highly organized, detail-oriented, enjoys event planning, and thrives in a collaborative, fast-paced environment.

Responsibilities

• Coordinate recurring in-person new hire onboarding sessions, including scheduling, calendars, room reservations, supplies, materials, Slack groups, and welcome communications.
• Manage new hire travel logistics, including reviewing travel bookings, coordinating hotel accommodations, processing travel requests, and partnering with travel vendors.
• Serve as a primary point of contact for onboarding questions by monitoring support channels and providing timely, professional assistance.
• Prepare onboarding spaces, organize materials, and provide day-of support for onboarding sessions.
• Facilitate onboarding sessions as needed.
• Assist with planning and executing employee engagement programs, company events, retreats, offsites, social gatherings, and holiday celebrations.
• Coordinate event logistics including venue research, vendor management, catering, signage, promotional materials, and communications.
• Provide on-site event support including setup, execution, troubleshooting, and breakdown.
• Track project timelines, manage event tasks, coordinate swag and supplies, and provide administrative support for Employee Experience initiatives.
• Partner cross-functionally with People Operations, Workplace, Internal Communications, DEIB, and other internal teams to deliver engaging employee programs.
• Help create welcoming, memorable experiences that strengthen employee engagement and company culture.

Qualifications

Required Qualifications

• 1–3 years of experience in Employee Experience, Workplace Experience, Human Resources, Events, Administrative Support, or a related field.
• Experience planning and coordinating events or employee programs.
• Strong organizational and project management skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Collaborative mindset with strong interpersonal skills.
• Comfortable working onsite in San Francisco three days per week.

Preferred Qualifications

• Experience using Google Workspace, Slack, Canva, Zendesk, or event management platforms.
• Experience supporting distributed or multi-office teams.
• Experience coordinating large-scale employee events, retreats, or company-wide programs.
