Overview

We’re hiring an Accounts Payable Specialist for a contract role with strong potential to become permanent. This role requires solid AP experience, excellent reliability, and strict adherence to procedures. We need someone dependable who takes ownership, communicates proactively, and ensures vendor payments are handled accurately and on time.

Key Qualifications

• An Associate’s degree plus 8 years of accounts payable experience, or a Bachelor’s degree plus 5 years of accounts payable experience (required)
• Extremely proficient in QuickBooks Enterprise
• Intermediate Excel skills (tables, basic formulas, pivot tables helpful)
• Proven track record of reliability and accountability
• Meticulous attention to detail; follows procedures consistently
• Proven track record of precision. Identifies and corrects discrepancies, follows checklists and reconciles statements thoroughly to prevent payment errors.
• Strong understanding of Generally Accepted Accounting Principles (GAAP)
• Professional, calm, mild-mannered — no drama
• Works well with others and communicates clearly
• Able to handle a fast-paced environment and time-sensitive payments

Responsibilities

• Process vendor invoices, expense reports, and payment runs accurately and on time
• Reconcile AP sub-ledgers and vendor statements; reconcile bank and credit card statements and escalate and resolve discrepancies
• Prepare and execute ACH, check, and electronic payments according to schedule
• Follow AP procedures, checklists, and approval workflows without exception
• Maintain meticulous vendor records and manage vendor communications
• Assist with month-end close and AP reporting
• Take ownership of errors, communicate issues promptly, and implement corrective actions
• Identify and suggest process improvements to prevent missed payments
