We are seeking a detail-oriented Accounts Payable / AIA Billing Specialist to join our growing finance team. This role is ideal for someone with a strong accounts payable background who is interested in expanding into AIA billing—the standardized billing process used in the construction industry to invoice clients based on completed project milestones rather than billing the entire project upfront.

This position manages a high-volume workload of approximately 800 invoices per month (200 per week) while ensuring accuracy, timeliness, and compliance. As part of a collaborative, close-knit finance team, you'll also have the opportunity to support the Director of Finance Operations with various accounting and operational initiatives.

Responsibilities

• Process and manage approximately 800 invoices per month (200 per week) with accuracy and efficiency.
• Prepare and process AIA billings based on completed project milestones and contract requirements.
• Verify, code, and reconcile vendor invoices while ensuring compliance with company policies.
• Collaborate with project teams to obtain supporting documentation and resolve billing discrepancies.
• Maintain organized records of invoices, payment applications, and supporting documentation.
• Perform account reconciliations and assist with month-end close activities.
• Utilize Excel and accounting software to analyze invoice data, payment schedules, and reports.
• Provide administrative and accounting support to the Director of Finance Operations on special projects and day-to-day finance operations.
• Identify opportunities to improve AP and billing processes.
• Maintain confidentiality and adhere to internal controls and accounting best practices.

Qualifications

• 2+ years of Accounts Payable, Billing, or Staff Accounting experience.
• Construction industry experience or familiarity with AIA billing is preferred but not required.
• Experience processing high-volume invoices in a fast-paced environment.
• Strong understanding of accounting principles, including reconciliations, debits and credits, and general ledger processes.
• Proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, and other reporting functions preferred).
• Experience with ERP or accounting software such as Sage, Workday, Oracle, SAP, QuickBooks, or similar systems.
• Excellent organizational skills with strong attention to detail.
• Ability to prioritize multiple deadlines while maintaining a high level of accuracy.
• Strong communication and interpersonal skills with a collaborative mindset.
