Position Overview

We are seeking an experienced, highly organized Medical Front Office Coordinator to join our team and take ownership of several vital administrative processes. This position is responsible for insurance verification, calculating patient financial responsibility, managing inbound referrals, and securing required authorizations and PCP referrals.

You’ll also provide exceptional front-desk support to ensure a seamless, compassionate experience for every patient. This full-time role is primarily based in our North Dallas office, with occasional travel to our Lewisville location. Reliable transportation is required.

What You’ll Do

• Warmly welcome patients and manage check-in and check-out processes
• Collect copays, deductibles, and any outstanding balances at the time of service
• Verify insurance benefits and eligibility, including commercial, Medicare, Medicaid, and managed care plans
• Calculate and communicate patient financial responsibility prior to visits and procedures
• Process all inbound referrals and enter accurate data into our EMR (eClinicalWorks)
• Obtain PCP referrals and prior authorizations as needed for patient visits and procedures
• Schedule patient appointments and procedures accurately and efficiently
• Answer and triage incoming phone calls with professionalism and care
• Maintain patient records and documentation in compliance with HIPAA and clinic policies
• Support overall front office operations with a collaborative, team-oriented approach

What We’re Looking For

• High school diploma or equivalent (required)
• Minimum of 3 years of experience in a medical front office role, including direct responsibility for insurance verification and referral coordination
• Strong understanding of insurance coverage types, eligibility requirements, and authorization processes
• Proficiency with Electronic Medical Records (eClinicalWorks preferred)
• Skilled in Microsoft Office and general computer applications
• Attention to detail, excellent time management, and strong organizational skills
• Outstanding communication and customer service abilities
• Fluent in English; Spanish-speaking is a plus but not required
