Senior Accounts Receivable Specialist

PRIMARY PURPOSE OF THE ROLE

The Senior Accounts Receivable Specialist plays a crucial role in executing the company's collections process, ensuring timely recovery of outstanding payments and minimizing bad debt exposure. This position requires a strong understanding of accounts receivable and collections principles to effectively manage delinquent accounts, investigate payment discrepancies, and implement resolution strategies.

ESSENTIAL RESPONSIBILITIES MAY INCLUDE

• Managing a portfolio of customer accounts and proactively contacting clients regarding overdue balances through various communication methods while applying established collection practices.
• Reviewing and evaluating account status, aging, and payment history to implement appropriate collection actions within defined policies.
• Investigating and resolving billing discrepancies and customer inquiries by analyzing account data in collaboration with Billing, Pricing, and Operations teams.
• Interpreting policies and procedures to resolve moderately complex collection issues and recommending effective solutions.
• Escalating non-routine or highly complex matters to management for resolution.
• Maintaining accurate documentation of collection activities, customer interactions, and account resolutions within designated systems.
• Preparing and analyzing aging reports and account reconciliations to support collections activities and assure financial accuracy.
• Communicating collection policies, payment expectations, and account status clearly and professionally to customers and internal stakeholders.
• Identifying recurring payment or billing issues and reporting trends to management to facilitate process improvements.
• Supporting month-end close activities by preparing accounts receivable reports, reconciling balances, and ensuring accuracy of financial data.
• Prioritizing work and managing deadlines independently while adhering to established processes and expectations.
• Delivering high levels of customer service while maintaining professionalism in all interactions.

QUALIFICATIONS

• Associate degree in accounting, finance, or a related field preferred.
• Three years of experience in accounts receivable or collections or an equivalent combination of education and experience.

SKILLS & KNOWLEDGE

• Proficient understanding of accounts receivable principles and customer account management.
• Ability to work independently while following established guidelines.
• Strong communication and interpersonal skills for effectively engaging with customers and stakeholders.
• Analytical problem-solving skills to evaluate account information and recommend actions.
• Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite) and Microsoft Excel.
• High attention to detail and accuracy in reporting and data entry.
• Capacity to manage multiple priorities and meet deadlines in a dynamic environment.
• Customer service-oriented approach with a professional demeanor.
• Familiarity with automated Accounts Receivable systems and tools.
• Ability to identify situations requiring management involvement and escalate issues appropriately.
