Accounts & Operations Executive

Position: Accountant Cum Transport Operations Assistant

We are looking for a highly organized, detail-oriented, and proactive Accountant Cum Transport Operations Assistant to manage daily accounting activities and support transportation operations. The ideal candidate should possess strong accounting knowledge, excellent record-keeping skills, and the ability to coordinate effectively with drivers, customers, and management.

Key ResponsibilitiesAccounts & Finance

• Process employee salaries through WPS and maintain payroll records.
• Prepare customer invoices, billing statements, and delivery-related documentation.
• Record daily financial transactions and maintain accurate accounting records.
• Monitor accounts receivable and follow up with customers for outstanding payments.
• Manage daily cash flow, petty cash, and expense tracking.
• Reconcile bank statements, supplier accounts, and customer accounts.
• Prepare payment vouchers, receipts, and supporting documents.
• Assist in monthly financial reporting and management reports.
• Maintain proper filing and documentation of financial records.
• Coordinate with auditors, banks, and government authorities when required.
• Monitor supplier payments and ensure timely settlements.

Transport Operations

• Perform daily transport-related data entry and maintain operational records.
• Coordinate with drivers regarding trip schedules, deliveries, and route planning.
• Monitor vehicle utilization and daily movement reports.
• Maintain records of vehicle maintenance, repairs, and service schedules.
• Record diesel/fuel filling transactions and monitor fuel consumption.
• Maintain driver trip sheets, duty schedules, attendance, and overtime records.
• Keep updated records of driver licenses, permits, and employment documents.
• Monitor vehicle registrations, insurance policies, permits, and renewals.
• Ensure timely renewal of Mulkiya, insurance, and transport-related permits.
• Prepare and update vehicle compliance reports and operational documentation.
• Coordinate breakdown assistance and maintenance scheduling with workshops.
• Maintain records of traffic fines and ensure timely resolution.
• Track vehicle downtime and prepare performance reports.
• Assist management in fleet planning and operational efficiency improvements.

Administrative Duties

• Handle correspondence, emails, and telephone inquiries.
• Prepare reports, spreadsheets, and management summaries.
• Maintain organized filing systems for accounting and transport documents.
• Coordinate with customers, suppliers, government authorities, and service providers.
• Support management with administrative and operational tasks as required.

Requirements

• Bachelor's Degree or Diploma in Accounting, Commerce, Business Administration, or related field.
• Minimum 2-3 years of experience in accounting and transport/logistics operations.
• Knowledge of WPS payroll processing and UAE labor regulations.
• Proficiency in MS Office (Excel, Word, Outlook).
• Experience with accounting software (Tally, QuickBooks, Zoho, ERP, etc.).
• Strong communication and coordination skills.
• Ability to work independently and handle multiple responsibilities.
• Knowledge of UAE transport regulations and vehicle compliance requirements is preferred.
