IT Project Coordinator

Role Overview

We are seeking a detail-oriented and proactive IT Project Coordinator to facilitate the successful delivery of IT projects, specifically focusing on custom system integration (SI) and POS projects for the retail and Food & Beverage sectors.

In this role, you will act as a key liaison between clients, vendors, and internal teams to ensure projects are executed efficiently, requirements are documented, and systems are deployed smoothly.

Key Responsibilities

1. Project Planning & Execution

Assist Project Manager in planning and executing custom SI and POS system projects, including scheduling rollouts and coordinating on-site activities.

Track project activities, milestones, and deliverables to ensure timely completion.

Provide flexible, ad-hoc support to Project Manager to facilitate seamless communication and project delivery.

2. Requirements & Documentation

Assist Project Manager in preparing tender proposals, project scope documents, and other essential project documentation.

Gather and accurately document user requirements from clients and internal stakeholders.

Develop comprehensive functional specs, process maps, user manuals, and standard operating protocols to support development, QA, and operations teams.

Ensure project documentation remains precise by managing issue logs and generating detailed progress reports.

3. Quality Assurance & Technical Support

Support User Acceptance Testing (UAT), design user test cases and simulate real-world scenarios to identify usability issues, validate features, and drive product enhancements.

4) Communication & Administration

Organize project meetings, maintain accurate project records, and manage issue tracking. Provide clear, consistent updates to all internal teams and stakeholders.

Required Skills & Qualifications

Higher Diploma or Bachelor’s degree in Information Systems, Business, Computer Science, or related fields.

1–3 years of experience in IT project coordination, with a strong ability to manage multiple tasks and competing priorities in a fast-paced environment.

Strong technical aptitude for creating functional documentation and operational procedures.

Proactive and detail-oriented approach to problem-solving and improving user experience.

Excellent communication skills, with experience in stakeholder management and issue triage.

Good command of written and spoken English, Cantonese, and Mandarin.
