Position Description

Provide administrative, reception, and project support to the Waterloo office while assisting multiple divisions and coordinating and collaborating with multiple branch offices on day-to-day business functions.

Working closely with the Branch Manager and under the executive team, primarily the CAO, this role contributes to the efficient operation of the office through exceptional organization, communication, and attention to detail in a professional consulting environment.

Position Responsibilities

• Provide administrative support including document preparation, scheduling, meeting coordination, and reception.
• Maintain organized electronic and physical records while ensuring confidentiality and accuracy of company information.
• Assist with procurement activities such as new project start up and tender database review.
• Assist with Occupational Health and Safety administration, including maintaining training records, and coordinating orientations.
• Prepare reports, invoices, purchase orders, spreadsheets, correspondence, and presentations using Microsoft Office applications.
• Coordinate travel arrangements, supply orders, and other office logistics.
• Liaise with employees, clients, vendors, and external service providers in a professional and courteous manner.
• Support corporate policies, procedures, and continuous improvement initiatives while maintaining a high level of professionalism and discretion.
• Provide general administrative support to project teams and management as required.

Qualifications

The ideal candidate will possess strong organizational and communication skills, with the ability to manage multiple priorities while maintaining a high degree of accuracy and confidentiality. A diploma or certificate in Office Administration, Business Administration, or a related field is preferred, combined with 5+ years of progressive administrative experience.

Candidates should be proficient in Microsoft Office 365, including Word, Excel, Outlook, and Teams, and demonstrate excellent written and verbal communication skills. Experience supporting onboarding, document management, and administration is considered a strong asset. Experience working within an engineering, consulting, construction, or professional services environment is also considered an asset.

This position is classified as full-time. Rate of pay will be commensurate with related experience and qualifications ($28.00 per hour +).
