Position Summary

Kay Davis Associates is seeking a detail-oriented and highly organized Project & Staff Accountant to support the company’s day-to-day accounting operations, project accounting functions, and financial reporting processes.

This role serves as a key liaison between project management, company leadership, and external CPA partners to ensure accurate financial records, project cost tracking, timely reporting, and operational efficiency. The ideal candidate is comfortable working independently, managing multiple priorities, and supporting both business and nonprofit accounting activities.

Key Responsibilities

Accounting & Financial Operations

• Assist with accounts payable and accounts receivable processes
• Process vendor invoices and customer billing
• Perform bank and account reconciliations
• Maintain accurate general ledger records
• Assist with monthly and year-end closing activities
• Prepare financial reports and supporting schedules for management and external CPA review
• Ensure compliance with accounting policies and procedures

Project Accounting

• Track project costs, expenses, and profitability
• Monitor job costing and budget allocations across multiple projects
• Coordinate with project managers to ensure accurate project financial reporting
• Review vendor payments and project-related expenditures
• Assist in identifying cost variances and budget concerns

Nonprofit & Administrative Support

• Support accounting activities related to Kay Davis in the Community (KDITC)
• Assist with grant-related financial tracking and reporting as needed
• Coordinate employee timesheet submissions and payroll-related documentation with third-party payroll providers
• Collaborate with project management and leadership teams to support operational needs

CPA & Compliance Support

• Serve as the primary accounting liaison with external CPA partners
• Prepare documentation and schedules for year-end financial reporting and tax preparation
• Assist with audit requests and financial record organization
• Support ongoing process improvements and accounting best practices

Qualifications

Required

• Bachelor’s degree in Accounting, Finance, or related field
• 3–5 years of accounting experience
• Strong understanding of accounting principles and financial reporting
• Experience with accounts payable, accounts receivable, reconciliations, and general ledger maintenance
• Proficiency in Microsoft Excel and accounting software
• Strong organizational, analytical, and problem-solving skills
• Ability to manage multiple priorities and work independently

Preferred

• Experience with project accounting or job costing
• Experience in construction, FF&E, procurement, design, or related industries
• Experience working with nonprofit accounting and grant tracking
• Experience collaborating with external CPA firms
