Overview

We are seeking a full-time Legal Administrative Assistant to support our Immigration Department. This role is integral to a fast-paced, high-volume immigration practice and requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities while adapting to evolving legal technology.

The position supports attorneys and paralegals assisting individuals and businesses navigating the U.S. immigration system.

Key Responsibilities

• Provide comprehensive administrative support to immigration attorneys and paralegals across multiple case types
• Serve as a primary point of contact for clients, delivering professional, responsive, and high-touch communication via phone and email
• Coordinate and manage high-volume scheduling, including internal meetings, client appointments, and critical government deadlines
• Maintain and audit data in immigration case management systems, including accurate docketing and report generation
• Organize and maintain electronic client files in accordance with firm standards and naming conventions
• Ensure accurate data entry and consistency across systems to support case preparation and filings
• Prepare and finalize immigration submissions for U.S. agencies using both paper-based and MyUSCIS online systems
• Process invoices and expense reimbursements accurately and in a timely manner
• Adapt to and efficiently utilize AI-enabled and evolving legal technologies

Qualifications

• Exceptional people and client service skills, with confidence engaging directly with high-level clients and managing phone intake and client communications
• Strong attention to detail with the ability to prioritize and manage competing deadlines in a high-volume environment
• Excellent organizational, administrative, and time-management skills
• Clear, professional written and verbal communication skills
• Technologically adept, with the ability to learn case management systems and new tools quickly
• Collaborative team player with a proactive, solutions-oriented mindset
• Cross-cultural communication skills and a genuine interest in supporting diverse immigrant populations, including professionals, investors, artists, skilled workers, and refugees

Proficiency in Microsoft Office (including Excel, PowerPoint, and Adobe) is required. Two or more years of relevant legal or immigration administrative experience is preferred; a bachelor’s degree is a plus but not required.

The estimated starting pay range is $24 - $39/hour. The compensation offered will be dependent on the candidate’s experience, skills, education, professional background, overall qualifications, and geographic market location.
