Your New Role

As the Receptionist, you will be responsible for managing the front desk and ensuring the smooth operation of reception and office administration activities. You will greet visitors, answer incoming calls, coordinate meeting room schedules, assist with office facilities requests, and support employees with a variety of administrative tasks.

This role requires strong communication skills, professionalism, attention to detail, and the ability to manage multiple priorities while maintaining a welcoming and organized office environment.

Key Responsibilities

• Answer, screen, and direct incoming telephone calls in a professional and courteous manner
• Welcome visitors and clients, directing them appropriately and notifying employees of their arrival
• Receive, sort, and distribute incoming mail, courier packages, and deliveries
• Prepare outgoing mail and courier shipments for pickup
• Maintain the appearance and cleanliness of reception areas, boardrooms, kitchen facilities, and common spaces
• Load and unload the dishwasher and ensure coffee stations remain stocked and operational
• Manage meeting room calendars and coordinate room bookings
• Support meeting setup and cleanup, including catering and refreshment arrangements
• Photocopy, scan, print, and distribute documents as required
• Order and maintain inventory levels of office supplies and pantry items
• Submit facility-related service requests through the building management system
• Coordinate temporary access card requests and other office services as required
• Respond professionally to employee and visitor inquiries
• Provide general administrative support to the office and leadership team

What You'll Need to Succeed

• Previous experience in a Receptionist, Front Desk, Administrative Assistant, or Office Coordinator role
• Excellent verbal and written communication skills
• Professional presentation and customer service orientation
• Strong organizational skills with the ability to multitask and prioritize effectively
• Experience managing a multi-line phone system and handling visitor reception duties
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
• Strong attention to detail and commitment to maintaining a professional office environment
• Ability to work independently and demonstrate initiative
• Reliable, punctual, and adaptable in a fast-paced office setting
• Previous experience in a corporate office environment is considered an asset
