Bilingual Administrative Assistant (French and English)

-Answer a 3 line phone system, direct phone inquiries to the appropriate staff members

-Reply to general information requests (phone, e-mail, mail, fax) with the accurate information in a timely manner

-Greet clients/suppliers/visitors to the organization in a professional and friendly manner

-Receive and apply payment by members over the phone

-Sort incoming mail, faxes, and courier deliveries for distribution

-Use computer word processing, spreadsheet, and cloud database software to prepare reports, letters, and documents

-Back-up electronic files using proper procedures

-Provide secretarial and administrative support to management and other staff

-Coordinate the maintenance of office equipment

Membership Care

-Update and ensure the accuracy of the organization's databases

-Enter all membership registrations, renew, donation and updated information on members on a daily basis

-Enter online orders on a timely manner

-Make spreadsheet (batches) of all your entries

-Send a proof of insurance letter to members and clubs if required

-Code and file membership according to the established procedures
