JOB TITLE: Secretary

DEPARTMENT: Finance/Account & PSC Audit Department

JOB PURPOSE

Provide secretarial and administration support to the department.

KEY ACCOUNTABILITIES

1. ADMINISTRATIVE SUPPORT

• Perform general typing duties, basic spreadsheet calculations, and other administrative tasks to support the Finance & Accounting Department.

2. RECORD AND FILE MANAGEMENT

• Maintain confidential records, files, and data related to the Finance & Accounting Department in an organized and secure manner.

3. TRAVEL ARRANGEMENTS

• Coordinate travel arrangements for F&A staff, including flight and hotel bookings, and ensure all travel logistics are properly documented.

4. CORRESPONDENCE MANAGEMENT

• Handle, record, and maintain all incoming and outgoing correspondences accurately for easy retrieval and reference.

5. CUSTOMS DOCUMENTATION

• Check and ensure all Contractors’ correspondences related to customs purposes are properly

tracked, documented, and filed systematically.

6. COMMUNICATION HANDLING

• Make outgoing calls and handle incoming calls and visitors courteously on behalf of the F&A Manager and Assistant Manager.

7. APPOINTMENT SCHEDULING

• Plan, schedule, and monitor appointments, meetings, and engagements for the F&A Manager and Assistant Manager.

8. MAIL COORDINATION

• Supervise the delivery and collection of mails and correspondences within the department to ensure timely distribution.

9. EXTERNAL COORDINATION

• Liaise and coordinate with external parties, including government agencies, contractors, and operators, for general administrative matters.

10. TEAM ASSISTANCE

• Assist other secretaries with common office tasks such as reception duties, meeting preparations, and travel or hotel arrangements for company Board Members.

11. OTHER DUTIES

• Perform any other tasks and responsibilities as assigned by the F&A Manager and Assistant Manager from time to time.

QUALIFICATION & EXPERIENCES

1. Diploma in Secretarial Science.

2. Minimum 5 years working experience reporting to senior management position

3. Good written and verbal communication in English.

4. Competent in Microsoft Office applications (Word & Excel)

5. Excellent in interpersonal.

Job Types: Full-time, Permanent

Pay: RM5,000.00 - RM10,000.00 per month
