POSITION SUMMARY

• Oversee and manage all office duties and other tasks as assigned.
• Manage all aspects of general office administration including preparing lists, summaries and extracts of contractual documents.
• Perform general clerical duties including filing, photocopying, faxing, emailing, scanning and uploading documents, handling courier and mail.

KEY AREAS OF RESPONSIBILITIES

• Manage Administrative Related Procedures
• Represent the company to perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
• Maintain complete and latest copies of company registration forms (i.e. form 9, 24, 44, 49, M&A) for all the companies within the Valiram Group.

Perform All General Office Duties

• Registration of new suppliers.
• Maintain and update office records, documentation control, data collection and data entry.
• Assist Finance in attending to invoices, utility bills, summary and payment.
• Liaise with banks on bank guarantees and security documents.
• Verify all relevant company invoices and to seek approval from the manager.
• Open, sort and distribute incoming correspondence or mails.
• Prepare and manage legal documents, correspondence including ensuring the singing copies are in order and thereafter obtaining directors’ signatures.
• Organise and coordinate meetings.
• Collate information and maintain databases.
• Provide and compile extracts and summary of contractual documents.
• Liaise with internal and external contacts.
• Coordinate the flow of information both internally and externally.
• Maintain strict confidentiality and interact professionally with all levels of management and staff

Personal Development

• Maintain at all times competent knowledge in areas of duty with an emphasis on turnaround time and attention to details.
• Understanding common legal phrases, clauses and documents
• Complete E-learning Modules on timely manner.

Other Duties

• Perform any other additional task(s) assigned by the department.
