We are seeking a highly organised and proactive Program Administrator to support Project Uno , Toll's SAP S/4HANA transformation program, based in Penang, Malaysia.

This role will provide project coordination, administration, reporting, and governance support to ensure the successful delivery of the transformation program.

Key Responsibilities

Project Coordination & Administration

• Coordinate project activities, meetings, workshops, and stakeholder engagements.
• Prepare meeting agendas, minutes, and track action items.
• Maintain project schedules, trackers, and key milestones.
• Follow up on outstanding actions and deliverables.

Reporting & Governance

• Prepare weekly and monthly project status reports.
• Maintain RAID (Risks, Actions, Issues, and Decisions) logs.
• Support governance meetings and prepare reporting materials.
• Ensure project documentation is accurate and up to date.

Documentation & Communication

• Maintain project documentation and records in SharePoint and other project tools.
• Assist with the preparation of presentations, reports, SOPs, and project communications.
• Support stakeholder communications and coordination across project workstreams.

Project Support

• Support project planning, resource coordination, and business readiness activities.
• Assist with training coordination, change management, and deployment activities as required.
• Provide general administrative support to the Project Manager and program team.

Requirements

• Minimum 3 years of experience in Project Administration, Project Coordination, PMO, or similar support roles.
• Experience supporting large-scale transformation, ERP, or SAP projects is preferred.
• Strong organisational, coordination, and time management skills.
• Excellent communication, stakeholder management, and minute-taking skills.
• Proficient in Microsoft Office applications, including Excel, PowerPoint, Word, and Teams.
• Experience with SharePoint and project management tools is an advantage.
• Ability to manage multiple priorities in a fast-paced project environment.
