Travel Agent

Introduction

We are looking for an experienced Travel Agent to manage all business travel arrangements for our employees, technicians, and management team.

The successful candidate will be responsible for planning and coordinating local and international travel, ensuring that all bookings are accurate, cost-effective, and completed on time.This role requires someone who is highly organised, able to work under pressure, and available to assist with urgent travel requests outside of normal business hours when required.

Duties & Responsibilities

Key Responsibilities

Travel Coordination

• Arrange domestic and international travel for employees, technicians, and management.
• Book flights for local and international business travel.
• Coordinate travel for site visits across South Africa, including Johannesburg, Cape Town, East London, Durban, and other project locations.
• Prepare detailed travel itineraries and ensure travellers receive all booking confirmations before departure.
• Manage last-minute travel requests and itinerary changes.

Accommodation & Transport

• Book hotels, guesthouses, and other accommodation for employees travelling locally and internationally.
• Arrange car hire for business travel.
• Coordinate airport transfers and other transport requirements.
• Ensure accommodation and transport bookings meet business needs and company budgets.

Visa & Travel Documentation

• Manage visa applications for international travel.
• Ensure travellers have valid passports and all required supporting documents.
• Keep up to date with international travel regulations and visa requirements.
• Liaise with embassies, consulates, and visa service providers to ensure visas are processed on time.

Vehicle Coordination

• Arrange vehicle servicing and maintenance for company vehicles used for business travel.
• Coordinate vehicle availability for travelling employees and technicians where required.

Travel Support

• Provide support to travellers before, during, and after their trips.
• Resolve travel-related issues such as flight delays, cancellations, accommodation changes, or emergency travel requirements.
• Be available after hours, including evenings and weekends, to assist with urgent travel matters when necessary.

Administration

• Maintain accurate travel records and booking documentation.
• Ensure travel bookings comply with company policies and budgets.
• Process travel invoices and maintain accurate records of travel expenses.
• Build and maintain good relationships with airlines, hotels, travel suppliers, and car rental companies.

Desired Experience & Qualification

Minimum Requirements

Essential

• Minimum of 3 years' experience working as a Travel Agent or in a corporate travel environment.
• Experience booking domestic and international flights.
• Experience arranging accommodation, car hire, and travel logistics.
• Experience managing visa applications and international travel documentation.
• Strong knowledge of local and international travel procedures.
• Excellent organisational and time management skills.
• Strong communication and customer service skills.
• Ability to manage multiple travel bookings simultaneously.
• Proficiency in Microsoft Office.

Preferred

• Experience negotiating corporate travel rates with airlines, hotels, and suppliers.
• Experience supporting employees who travel frequently for business or site visits.

Package & Remuneration

R28 000 - R40 000
