Procurement & Contract Administrator (FTC)

Procurement & Contract Administrator

Role Purpose

We are seeking a Procurement & Contract Administrator who will provide procurement, contract administration, and project commercial support across Allied Gold's portfolio of Projects and Studies.

The role will support the end-to-end procurement process, contract administration activities, supplier performance management, governance compliance, reporting, and coordination between Project Teams, Procurement, Finance, EPCM Contractors, Consultants, and Suppliers.

The position is intended to strengthen procurement governance, improve contract administration and reporting, support project execution activities, and provide additional capacity across a growing portfolio of capital projects and studies. This role will report to the Senior Commercial Manager Projects.

Key Responsibilities

Procurement Administration

• Coordinate procurement activities from requisition through to award and execution.
• Support RFQ, RFP, and tendering processes.
• Prepare and maintain procurement registers and tracking reports.
• Coordinate supplier communications and follow-up actions.
• Support supplier onboarding and compliance verification activities.
• Maintain preferred supplier databases and procurement records.

Contract Administration

Assist with preparation, review, issuance, and administration of contracts, purchase orders, and amendments.

• Maintain contract registers and obligations tracking.
• Monitor contract milestones, deliverables, and expiry dates.
• Assist with administration of contract variations and commercial correspondence.
• Support contract close-out activities and final account administration.

Project Commercial Support

• Assist with procurement commitments tracking and reporting.
• Support review and verification of contractor and supplier invoices.
• Assist with payment certificate administration and supporting documentation reviews.
• Support budget monitoring and procurement expenditure reporting.
• Coordinate procurement inputs into project reporting processes.

Supplier & Contractor Management

Support supplier performance monitoring and KPI tracking.

• Assist with contractor performance management activities.
• Coordinate supplier meetings, evaluations, and performance reviews.
• Support dispute resolution and supplier issue management.

Governance & Compliance

• Ensure compliance with procurement procedures, Delegation of Authority requirements, and company governance standards.
• Maintain complete procurement and contract records for audit purposes.
• Support internal and external audit requirements.
• Assist with local content, supplier compliance, and reporting requirements where applicable.

Reporting & Systems

• Maintain procurement and contract administration reports.
• Support monthly procurement and commercial reporting requirements.
• Prepare spend analysis and procurement status reports.
• Utilize ERP and procurement systems to maintain accurate records and reporting.

Preferred Qualifications & Experience

• Diploma or Degree in Supply Chain Management, Procurement, Commerce, Business Administration, or related discipline.
• Experience within mining, EPCM, engineering, construction, or capital project environments.
• Experience with procurement administration, tendering, sourcing, and supplier management.
• Exposure to contract administration and project procurement activities.
• Experience with ERP systems such as SAP, ARIBA, Coupa, or similar.
• Strong Excel and reporting skills.
