Executive Assistant

Venor is proud to partner with Graybar Canada in their search for an Executive Assistant to join their team at their corporate office in Halifax. The Executive Assistant is responsible to deliver executive-level management assistance to the President and Executive Team (as needed). This position utilizes business knowledge, experience, and technical expertise to deliver value and support.

This role is privy to senior leadership matters, communications, correspondence, documents, decision items, and is required to exercise discretion, diplomacy, and sound judgement.

Key responsibilities include

• First point of contact for external stakeholders, managing inquiries and requests for the President’s office.
• Provide confidential administrative support to the President and Executive team.
• Coordinate executive schedules, meetings, travel, expenses, and onboarding.
• Collaborate with leadership to support communication, workflows, and strategic initiatives.
• Prepare and distribute large-scale communications and support brand development projects.
• Assist with RFPs, contracts, legal documentation, mergers and acquisitions, and other corporate initiatives for Graybar Canada.
• Coordinate strategic planning activities, annual metrics, and communication strategies.
• Conduct research, prepare materials, agendas, and meeting minutes for committees and Board meetings.
• Support stakeholder and community relationships, special events, and committee participation.

What we are looking for

5+ years of experience in an Executive Assistant or similar role Post-secondary education in administration or business considered an asset Advanced proficiency in Microsoft Office products Working knowledge of accounting systems, budgets, internal controls, and reporting Strong analytical, organizational, planning, prioritization, and problem-solving skills with the ability to execute effectively Excellent verbal and written communication skills with the ability to build and maintain strong relationships across departments and with key business partners Strong work ethic and positive team attitude At Venor and Graybar Canada, we embrace a culture of belonging in the workplace.
