Accounts Payable Specialist - General Cashier

Summary/Objective

The Accounts Payable/General Cashier is responsible for maintaining accurate financial records, processing vendor payments, and managing daily cash operations for the hotel(s) under the Finance Office purview. This position plays a key role in supporting the Finance Department by ensuring compliance with internal controls, Arizona state tax requirements, and hotel brand standards.

Accounts Payable Responsibilities

• Review, verify, and process all vendor invoices for multiple hotels.
• Match invoices to purchase orders and receiving documents.
• Prepare weekly vendor payments.
• Maintain AP files and electronic records.
• Reconcile vendor statements.
• Support month-end closing.
• Ensure compliance with Arizona Transaction Privilege Tax (TPT).
• Maintain adherence to internal controls and audit standards.

General Cashiering Responsibilities

• Serve as the property’s custodian of house banks and change funds.
• Issue, audit, and balance departmental banks.
• Collect and record daily deposits.
• Prepare bank deposits.
• Reconcile petty cash.
• Support daily revenue reporting.
• Ensure compliance with cash-handling and PCI policies.

Compliance & Internal Controls

• Maintain confidentiality of financial information.
• Follow corporate accounting policies and SOPs.
• Assist with internal and external audits.
• Ensure compliance with Arizona regulations and hotel brand standards.

Physical & Working Conditions

• Office environment in a hotel property.
• Frequent computer use; occasional lifting up to 25 lbs.
• May require extended hours during closing periods.
• Must be legally authorized to work in Arizona.

Qualifications & Requirements

Education

• High school diploma or GED required.
• Associate or Bachelor’s Degree in Accounting, Finance, or Business preferred.

Experience

• 1–2 years accounting/AP experience required.
• Hotel accounting experience preferred.
• Experience with Opera PMS, Micros/POS, BirchStreet, M3, or similar a plus.

Skills & Competencies

• Strong organizational skills and detail orientation.
• Strong communication and vendor service skills.
• Proficiency in Excel and accounting systems.
• Ability to manage cash accurately and responsibly.
