We are seeking a highly organized and detail-oriented Product & Sales Coordinator to support our sales and product teams in managing daily sales operations, order processing, customer coordination, documentation, and reporting activities.

The ideal candidate will play a key role in ensuring smooth order execution, timely customer support, and efficient coordination between internal departments and external stakeholders.

Key ResponsibilitiesSales Support & Coordination

• Prepare and manage customer quotations, sales orders, and proforma invoices.
• Support the sales team with customer follow-ups and order-related activities.
• Coordinate with customers and internal departments regarding pricing, stock availability, order status, and delivery schedules.
• Maintain accurate records of customer inquiries, quotations, and order confirmations.

Order Processing & Documentation

• Process sales orders in ERP/SAP systems according to approved pricing and stock availability.
• Coordinate with the Finance team for credit approvals, payment verification, and invoice release.
• Work closely with Logistics and Warehouse teams to ensure timely deliveries and shipment updates.
• Maintain and organize all relevant documentation, including LPOs, quotations, invoices, delivery notes, and payment confirmations.

Customer & Vendor Coordination

• Communicate proactively with customers regarding order progress, payment follow-ups, document requirements, and delivery timelines.
• Coordinate with vendors and product teams for product availability, pricing support, and special approvals.
• Assist in updating and maintaining accurate customer account and master data records.

Reporting & Data Management

• Prepare daily, weekly, and monthly sales reports for management.
• Maintain trackers for sales orders, quotations, pending deliveries, backorders, and customer commitments.
• Update ERP and Excel records accurately and generate reports as required.
• Support management with inventory aging reports, sales performance analysis, billing status, and product-wise sales tracking.

Administrative & Operational Support

• Handle general sales administration and departmental coordination tasks.
• Support month-end sales closing activities and follow up on pending approvals and order releases.
• Ensure confidentiality of customer data, pricing information, and business records.

RequirementsEducation

• Bachelor’s Degree in Business Administration, Commerce, Information Technology, or a related field.

Experience

• 2–4 years of experience in Sales Coordination, Sales Support, Customer Service, or Order Processing.
• Experience in IT Distribution, Electronics Trading, IT Hardware/Software, or Channel Sales is highly preferred.
• Hands-on experience with ERP/SAP systems is an advantage.

Required Skills

• Strong communication and coordination skills.
• Advanced MS Excel skills, including:
• VLOOKUP/XLOOKUP
• Pivot Tables
• Filters and basic formulas
• Knowledge of sales order processing, quotations, invoicing, and delivery coordination.
• Excellent attention to detail and accuracy.
• Ability to multitask, prioritize work, and meet deadlines.
• Strong ownership mindset with excellent follow-up skills.
• Customer-focused approach and problem-solving ability.
• Good data entry, documentation, and record-management skills.
• Proficiency in Microsoft Outlook, Word, and PowerPoint.
• Basic understanding of IT distribution, trading, or channel sales business.
