As our team expands internationally, we are looking for a highly organized and proactive Executive Assistant – Travel & Operations Coordinator to manage global travel, event logistics, and executive scheduling across multiple countries and time zones.

The Role

This is a fast-paced coordination role supporting leadership and international operations.

You will be responsible for organizing travel, securing event access, managing bookings, and ensuring every trip is planned efficiently from start to finish. You will coordinate with airlines, hotels, conference organizers, embassies (when required), and internal teams to keep travel running smoothly.

This role requires exceptional attention to detail, excellent communication skills, and the ability to manage multiple priorities simultaneously.

Key Responsibilities

• Plan and book international and domestic flights
• Arrange hotel accommodations and transportation
• Purchase and manage event registrations, media passes, conference tickets, and exhibition access
• Coordinate complete travel itineraries for executives and team members
• Monitor travel schedules and adjust bookings when plans change
• Coordinate airport transfers, local transportation, and logistics
• Ensure all travel documentation and confirmations are organized and readily available
• Research the most efficient travel routes and cost-effective booking options
• Communicate with airlines, hotels, event organizers, and travel providers worldwide
• Coordinate travel across multiple countries and time zones
• Maintain detailed travel calendars and booking records
• Assist with visa documentation and travel requirements when necessary
• Handle urgent travel changes, cancellations, and last-minute requests
• Support executive scheduling and administrative coordination as required

Preferred Experience

• 2+ years of experience as an Executive Assistant, Administrative Assistant, Travel Coordinator, or Operations Coordinator
• Experience booking international travel and managing complex itineraries
• Experience coordinating business travel for executives or teams
• Familiarity with online travel booking platforms and reservation systems
• Experience supporting international business operations is an advantage What Success Looks Like
