Bookkeeper / Administrative Assistant

Position Overview

We are a growing law firm seeking a highly organized and detail-oriented bookkeeper with strong analytical awareness. This role is ideal for an entry to junior-level professional looking to assist in managing the day-to-day accounting operations.

This bookkeeper will play a critical role in maintaining routine financial tasks, tracking trends and discrepancies, ensuring compliance with legal accounting standards, and supporting Head of Finance and Accounting with accurate data entrée.

Key Responsibilities

• General, legal specific accounting tasks.
• Process payments for medical records, police reports, and vendor invoices, using online portals or issuing checks as needed.
• Record financial transactions in QuickBooks, ensuring accuracy and proper documentation.
• Communicate with vendors and staff regarding W9s, returned checks, fee reductions, and case-specific updates.
• Assist with 1099 corrections, vendor updates, and IRS TIN matching.
• Maintain accurate and up-to-date accounting data entree for monthly, quarterly, and year-end closing.
• Track client retainers and ensure proper application to invoices and billing.
• Monitor aging reports and follow up on receivables.
• Additional tasks and responsibilities to meet the evolving needs of the organization.

Qualifications

• Bachelor’s degree in accounting, finance, or related field preferred.
• 3–7+ years of bookkeeping experience, preferably in a law firm.

Preferred Skills

• Strong knowledge of legal accounting and accounting software (Quickbooks Online, Truist Financial apps, Bill.com, Filevine)
• Ability to prioritize and multi-task in a fast-paced work environment.
• Highly organized and detail oriented.
• Strong organizational skills
• Proven ability to maintain confidentiality.
• Able to complete tasks accurately and timely with minimal supervision.
• Intermediate Microsoft Excel knowledge and skills (Pivot Tables, formulas).
• Extensive knowledge of GAAP Principles

Pay: $25.00 - $30.00 per hour
