Bookkeeper/Administrative Assistant

Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! Responsibilities

• Manage all aspects of bookkeeping using QuickBooks, including invoicing, expense tracking, bank reconciliations, and financial reporting
• Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls professionally with proper phone etiquette
• Maintain organized filing systems for both digital and paper records, ensuring easy retrieval of documents
• Perform data entry tasks accurately within spreadsheets and other productivity software, supporting various administrative functions
• Assist with office management duties including materials pricing, ordering, and tracking
• Provide exceptional customer support by responding promptly to client inquiries via phone or email and maintaining positive client communication
• Support office operations through clerical tasks such as proofreading documents, preparing Word processing files, and managing office supplies

Experience

• Proven experience in office administration or clerical roles with a strong emphasis on bookkeeping and data entry
• Proficiency in QuickBooks for financial recordkeeping and Microsoft Office Suite (Word, Excel, Outlook)
• Familiarity with Google Workspace tools such as Gmail, Google Sheets, and Google Drive for collaboration and organization
• Experience managing multi-line phone systems and providing professional front desk reception services
• Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
• Previous experience in customer service or client communication roles that require excellent phone etiquette and professionalism
