Job Title: Operations Executive – Exhibitions & Conferences

Job Summary

The Operations Executive is responsible for planning, coordinating, and executing all operational aspects of exhibitions and conferences. The role involves managing exhibitor operations, venue coordination, floor plans, logistics, contractor management, and on-site execution to ensure the successful delivery of events.

Key Responsibilities

• Coordinate with venue planners and suppliers to ensure smooth event execution.
• Prepare and manage exhibitor manuals, registration processes, and exhibitor communications.
• Handle all operational requirements for shell scheme, deluxe, and open space exhibitors, including stand specifications, graphics, approvals, and service requests.
• Manage the exhibitor services portal, including registrations, approvals, and additional service orders.
• Coordinate with exhibitors, contractors, and venue teams regarding stand construction, venue regulations, electricity, rigging, catering, security procedures, and dismantling schedules.
• Prepare, update, and manage exhibition floor plans, ensuring timely approvals from venue authorities.
• Coordinate health and safety approvals, logistics requirements, RTA signage, electricity, and rigging for feature areas.
• Work closely with the Marketing, Design, Sales, Registration, and Project Management teams to ensure branding and operational requirements are successfully implemented.
• Coordinate venue branding opportunities and oversee on-site execution.
• Source and negotiate with vendors and suppliers to obtain competitive pricing and quality services.
• Coordinate accommodation and logistics arrangements for VIP guests, speakers, delegates, and government officials when required.
• Ensure all operational activities are completed in compliance with venue regulations, project timelines, and company standards.

Qualifications

• Bachelor's degree in Business Administration, Event Management, Operations, or a related field.3–5 years of experience in exhibition, conference, or event operations.
