Personal Assistant – Hedge Fund (12 Month Contract, with a view to go Permanent)

Role Overview

We are seeking an experienced Personal Assistant to provide high‑level administrative and organizational support to a team of 10–12 professionals within the non‑investment functions of a leading hedge fund. This is a fast‑paced, dynamic environment where precision, discretion, and adaptability are essential.

The role is offered as a 12‑month contract with a view to permanent conversion, reflecting the firm’s commitment to long‑term talent.

Key Responsibilities

• Executive & Team Support
• Manage complex calendars, scheduling meetings across multiple time zones.
• Coordinate domestic and international travel arrangements, including visas, itineraries, and logistics.
• Process expenses and reimbursements in line with company policy.
• Prepare meeting materials, presentations, and briefing documents.

Operational & Administrative Management

• Serve as the central point of contact for the team’s administrative needs.
• Maintain filing systems, databases, and compliance records.
• Support onboarding and integration of new team members.
• Liaise with internal departments and external stakeholders to ensure smooth operations.

Event & Project Coordination

• Assist in planning and execution of team offsites, corporate events, and internal initiatives.
• Provide logistical support for conferences, workshops, and training sessions.

Qualifications

• 5–12 years of experience in Executive Assistant, or Team Assistant roles.
• Prior exposure to financial services or professional services environments preferred.
• Strong organizational skills with the ability to manage multiple priorities under pressure.
• Excellent communication skills in English; and Mandarin proficiency advantageous.
• Proactive, detail‑oriented, and adaptable, with a polished client‑ready presence.
